Banquet and Catering Agreement

 

DEPOSIT

Please return the signed banquet agreement with your initial deposit of $___________ within  fourteen (14) days of the contract origination date in order to confirm the date and time of your event. The deposit will be credited to your event.

Upon completion of your menu selection (at least  30 days prior to your event), another deposit representing 50% of the estimated total price of the event may be required.

PRICE AND PAYMENT

Detailed arrangements will be outlined in a Banquet Event Order (BEO) which will be produced upon completion of the menu selection and other details. The balance (less deposits) will be due at the conclusion of the event. Payments may be made with Visa, MasterCard, American Express, personal check or Member Charge.

 

POLICIES AND PROCEDURES

AGREEMENT

The outlined arrangements are being held on a tentative basis for a maximum of fourteen (14) days from the contract origination date.  

Arrangements will be confirmed on a definite basis upon the receipt of the signed contract and a confirmed method of payment for the above outlined event.

SET UP FEES AND MINIMUMS

Each of our banquet rooms may be subject to a set up fee and/or an expenditure minimum. The set up fee/ Food & Beverage Minimum for the above event is $_______________.  Set up fees are based on the room reserved. Minimums are comprised of food and beverage purchases only (taxes & gratuities may be included). Subcontracted services may not be applied towards a minimum.

ROOM ASSIGNMENTS

NorthStone reserves the right to assign and/or reassign rooms at their discretion. In the event of a change in room assignments, you will be notified prior to your scheduled event.

WEDDINGGARDEN

Wedding Ceremonies that utilize the WeddingGarden and surrounding grounds must stay in the area designated for the ceremony.

CANCELLATIONS

If your event is cancelled within 48 hours of the event and the Club is unable to rebook the room or event area for an equivalent revenue value, the client will be charged 50% of the planned menu cost and all deposits will be forfeited.

MENUS

All food and beverages consumed at an event must be purchased through NorthStone. Our menus are specifically designed to give you a wide variety of selections. If you are interested in a meal not shown in our menus, please let us know. Our chef will be pleased to prepare a menu especially created for you.

Prices are subject to change, but will be guaranteed 60 days prior to your event.  Prices on the menu are subject to sales tax and 18% gratuity, which will be added to the final bill.

FOOD

Except for approved charitable events and certain specialty foods such as wedding cakes, which the Club prefers not to prepare, all food items must be supplied and prepared by the Club.  A cake-cutting fee of $50.00 will be charged for wedding cake service.

BEVERAGE SERVICE

NorthStone can provide a full service bar, with a wide choice of liquors, beers, and wines for your event. Our staff and managers have been trained in our Alcohol Awareness Program. It is the policy of NorthStone to comply with all state and local laws pursuant to alcoholic beverage service, including, but not limited to:

- Persons under 21 years of age are not permitted to consume alcoholic beverages.

- Any persons who are known to be intoxicated will not be served alcoholic beverages.

- All alcoholic beverages consumed on the property must be purchased from NorthStone.

- Unauthorized alcohol brought onto the premises will be confiscated until conclusion of the event.

The client is responsible for assisting Club management in resolving any alcohol related issues involving their participants or guests.

DECORATIONS AND DAMAGES

All decorations that require affixing or attaching to anything must have prior approval of NorthStone.  NorthStone is not responsible for any merchandise brought into the Club before an event or left after an event.  The client agrees to accept responsibility for excessive clean-up due to inappropriate activity or repairs for any and all damages to the facility.

GUARANTEES

The Banquet Manager must be notified of the exact number of guests attending each event five business days

(120 hours) prior to the event. If the Banquet Manager is not notified with a final count, the guaranteed number of guests will become the number indicated on the most current function sheet. The count is not subject to reduction within 120 hours of the event, and you will be billed for at least as many people as given on the final count. If the actual attendance exceeds your guarantee, you will be charged for the actual attendance. An increase in attendance will be accepted up to 24 hours before the function, provided space and product are available.
